Terms & Conditions

Your adventure travel experience with Dundee Adventure Travel ("we," "us," or "our") is subject to the following Terms and Conditions ("Terms"). By booking with us, you acknowledge that you have read, understood, and agreed to these Terms. These Terms govern your relationship with us and outline your responsibilities as a customer, as well as our role as an intermediary.

The ticket(s) ("voucher(s)") provided have been booked by us on your behalf with various service providers ("Service Providers"). Each Service Provider has its own Terms and Conditions, which apply to your travel. You are strongly advised to carefully review the relevant brochure, booking confirmation, or Service Provider's terms to ensure you fully understand the inclusions, exclusions, and limitations of your booking. 1. Booking & Ticket Conditions

  • Open-Dated Tickets: For open-dated tickets, you must book your travel dates in advance with the Service Provider, as specified on your voucher. Availability is subject to the supplier's operations and is not guaranteed by us.
  • Tickets with Fixed Dates: Ensure you redeem your tickets on the dates booked. If you need to amend these dates, it is your responsibility to contact the Service Provider directly and provide sufficient notice.
  • General Requirements: You must reconfirm all booked dates at least 48 hours prior to travel or as stated on your voucher. Any special requirements, such as dietary restrictions, should also be communicated at this time. It is your responsibility to verify the accuracy of all booking details, including dates, times, and itineraries. Any discrepancies must be reported immediately.

2. Service Expectations

You are responsible for understanding the details, inclusions, and exclusions of your bookings as outlined by the Service Provider. Marketing materials and images provided are for illustrative purposes only and may not represent the exact experience. We do not guarantee that the services delivered by the Service Provider will align with your personal expectations or promotional representations. Discrepancies must be addressed directly with the Service Provider.

3. Cancellation & Refund Policy

  • A 30% cancellation fee applies to all cancellations initiated by the Customer. Additional fees charged by the Service Provider may result in total fees of up to 100% of the booking value.
  • If the cancellation occurs within 7 days of departure, no refund will be provided.
  • Transport and accommodation bookings are non-refundable.
  • If we cancel a service due to unforeseen circumstances, we will endeavour to offer an alternative of equal value. If no alternative is available, we will issue a refund, less a 15% administration fee, contingent on the amount refunded to us by the Service Provider.

Refunds will not be provided for cancellations due to: change of mind or personal circumstances; travel delays, missed connections, or failure to attend due to oversleeping; force majeure events, such as natural disasters, pandemics, or health-related issues, unless covered by travel insurance. Refunds will be issued to the original payment method used. Cash payments will be refunded via bank transfer. Refunds may take up to 30 days to process.

4. Force Majeure

In the event of severe weather, cyclones, floods, bushfires, natural disasters, transport disruptions, government restrictions, supplier operational issues, pandemics, or other force majeure events outside reasonable control, booked services may be delayed, modified, rescheduled, or cancelled without prior notice. Where force majeure circumstances occur, Dundee Adventure Travel may offer travel credits, rescheduled services, alternative arrangements, or partial refunds where reasonably appropriate and operationally possible.

Customers acknowledge that operational costs, supplier commitments, prepaid services, administrative work, supplier coordination, itinerary management, emergency assistance, rebooking support, and disruption-related expenses may already have been incurred at the time of cancellation. As a result, certain deposits, cancellation charges, administration fees, operational costs, and travel arrangements may remain partially or fully non-refundable. Additional administration, operational support, supplier amendment, rebooking, or emergency assistance fees may apply where significant additional work is required due to travel disruptions, force majeure events, or customer-requested changes.

Dundee Adventure Travel strongly recommends comprehensive travel insurance covering cancellations, severe weather events, medical emergencies, natural disasters, and travel disruptions. By confirming a booking, customers acknowledge and accept these conditions.

5. Payment Terms

  • All deposits or partial payments are non-refundable and non-transferable unless explicitly stated otherwise.
  • Payments made via credit card are subject to non-refundable processing fees of 2.2% for in-store transactions and 3.5% for online transactions.

6. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to cover cancellations, medical emergencies, and unforeseen travel disruptions. Travel insurance is your responsibility and is not included in our services.

7. Additional Costs

Some tours and activities may involve additional costs not included in your booking. These may include equipment hire, national park fees, stinger suit hire, luggage storage, meals, fuel levies, and miscellaneous charges. It is your responsibility to confirm these costs with the Service Provider at the time of reconfirmation.

8. Pricing

Prices are subject to change at the discretion of the Service Provider. Final costs are only confirmed once payment is made in full. We are not responsible for price changes resulting from currency fluctuations or supplier adjustments.

9. Vehicle & Equipment Rentals

Deposits for car or campervan rentals are strictly non-refundable. Rental policies, including cancellation terms and insurance requirements, are determined by the Service Provider. Ensure you review their Terms and Conditions before booking.

10. Liability

Dundee Adventure Travel acts solely as an intermediary and assumes no responsibility for the quality or delivery of services provided by Service Providers. We are not liable for discrepancies between the Service Provider's descriptions and the actual service provided. Any complaints must be directed to the Service Provider. You agree to indemnify Dundee Adventure Travel against any claims arising from your use of the services booked.

11. Travel Documents

It is your responsibility to ensure compliance with all passport, visa, and immigration requirements. Passports must be valid for at least 6 months beyond your return date. We accept no liability for travel disruptions caused by non-compliance.

12. Governing Law

By booking through Dundee Adventure Travel, you confirm that you have read, understood, and agreed to these Terms and Conditions. These Terms are governed by the laws of Queensland, Australia, and any disputes shall be resolved exclusively within Queensland courts.
