If you are booking an open dated tour, we require a minimum of 14 days’ notice to confirm your departure date.

Reconfirm your booking

All bookings must be reconfirmed with us 2 days before your scheduled start date.

Refund policy (cancellations by the traveller)

Refunds (if applicable) will be processed according to the timeframes below. Cancellation fees apply once we receive written confirmation of your cancellation.

• Within 7 days of the start date: 100% fee (no refund)
• Between 7 and 28 days before start date: 50% fee
• Between 28 and 365 days before start date: $250 fee

Important: Different cancellation conditions may apply to third-party operated tours and additional services. You will be advised of any different cancellation charges at the time of booking.

Travel insurance is strongly recommended at the time of booking and should cover cancellation.

If you leave a tour for any reason after it has commenced, we are not obliged to provide refunds for unused services. If you fail to join a tour, join after departure, or leave prior to completion, no refund will be provided.

If you booked through a travel agent (including packages with other travel components), please contact your agent directly.

Cancellation by the operator

The operator may cancel a trip at any time prior to departure if it is not viable to operate the planned itinerary due to events such as terrorism, natural disasters, political instability, relevant government advice, or other external events.

• If the trip is cancelled for reasons other than a force majeure event, you will receive a full refund.
• If the trip is cancelled due to a force majeure event, you will receive 100% credit to use for a future trip or a refund, less unrecoverable costs.

Booking amendments / transfers

If you wish to transfer to another tour, change departure, or transfer your booking to a third party, you must notify us at least 30 days prior to the proposed departure date.

• A fee of $200 per person per change may apply (plus any charges levied by providers, including third-party operators).
• If you notify us less than 30 days prior to departure, the cancellation policy will apply.
• Transfers to a third party are only permitted where the transferee meets all tour requirements.
• Transfers to another departure can only be made within the current validity period (departures operating between April 1 – March 31).
• No amendments are permitted within 7 days of departure.

Sleeping bags are required on Swag Camping tours or where outlined in the trip’s “Important Information”. You may bring your own or purchase one in advance via your travel agent. Sleeping bags cannot be purchased once the trip has begun.

Age & health requirements

Minimum age: For the majority of tours, the minimum age is 8 years at the time of travel. Travellers under 18 must be accompanied by a legal guardian, or a responsible adult over 18 appointed by their legal guardian. The legal guardian is responsible for the under-18 traveller’s day-to-day care.

Please note we cannot guarantee triple or adjoining rooms/tents for families; accompanying adults may be required to share with others in the group.

Maximum age: For the majority of tours there is no upper age limit. Tours can be physically demanding and travellers must be suitably fit to participate. Travellers aged 70+ are required to review and sign a medical form. Due to remote locations and the challenging nature of extended camping tours, older travellers should carefully consider their health and ability to participate for their safety and the benefit of the group.
